Why we use your information
We use candidate information to:
- respond when you ask to hear about freelance PitchMedic opportunities;
- assess whether your stated background may be relevant to particular work;
- arrange introductory and screening calls;
- manage our prospective supplier pipeline;
- invite suitable people to complete separate onboarding and evidence checks;
- keep records of contact choices, objections and requests; and
- send broader updates only where you separately choose to receive them.
An expression of interest is not an offer of work, employment or approval to provide medical cover.
What we collect at this stage
We may collect your contact details, postcode, stated professional background, registration body, stated qualifications, general and pitchside experience bands, work preferences, travel range, usual days and times, availability notes, freelance readiness, insurance, professional summary, referral source and contact choices.
Do not send a DBS certificate, identity document, insurance file, medical information or other sensitive evidence through the expression-of-interest form. We will explain any later evidence process separately.
Our lawful bases
We process information to take steps at your request before a possible freelance supplier contract and for our legitimate interests in managing a proportionate prospective supplier pipeline. We rely on consent for optional broader candidate marketing where that choice is offered.
Who can access it
Access is limited to authorised PitchMedic staff and service providers who need the information to run this process, or where disclosure is required by law. We do not give your contact details to an organisation or organiser merely because you expressed interest.
How long we keep it
We review an expression-of-interest record no later than 365 days after its latest submission. We then delete it, ask you to refresh it, or retain it only where a documented lawful reason applies. We may retain a minimal suppression record to honour a do-not-contact request.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion or restriction, object to processing, withdraw marketing consent, or complain to the Information Commissioner's Office. Contact hello@pitchmedic.com to make a request or change your choices. We may need to verify your identity.
Automated decisions
PitchMedic does not make final supplier suitability, clinical-scope, safeguarding or booking decisions solely through automated scoring. Evidence and suitability require human review.
